Getting started guide for admission admins

Customized application forms

Create customized forms by adding and editing questions to your applicants. Select from multiple field types, drag-and-drop to re-order questions. Add restrictions on input fields and limit sizes and supported formats for uploads. You can also get support through the form building process. Easily share your forms by email, on social media, and on your website.

Receive applications

Applicants fill in the secure and browser-compatible form from their computer or mobile device to submit their information. The form is editable until the deadline. The admission administrator can allow single individuals to add missing data and documents after the application deadline has passed.

Search, filter and review

It is easy to view and review the applications individually or together in a group on the Internet. Quickly search, sort and filter in various ways to locate different groups of applicants.

Payment integration

Accept payments of tuition or registration fees. Fine-art.education supports all major credit card networks and tools like Google Pay, Apple Pay, and accepts 135+ currencies.

Notifications & Emails

Admission administrators can create and send personalized automated or instant notifications throughout the admission process. The applicants will get an email telling them to log in to Fine-art.education to read the notification and follow the admission process.
All notifications are logged with a timestamp and the status of the sent notification (read/unread).
-Notifications can be sent automatically with predefined actions. For example, when an applicant submits an application or has accepted an offer of a place.
-Notifications can be sent instantly to selected applicants by admission administrators by segmenting the list of applicants.

Multilingual

You can create admission rounds in one of the various languages Fine-art.education supports. This means that the website, notifications and the application form and any text (such as validation error messages) that may appear while the applicants are filling out the form will be displayed in the chosen language.

Audit log

The audit log allows administrators to look back at changes that have been made during the review process. The audit log records chronological documentation of the review activities. Details included are: evaluation form data, timestamps and reviewer name of the reviewers.

Export

For long-term records of the admission process, the application administrator can download an Excel or CSV file with the applicants’ data, evaluation data and the audit log. All files uploaded by applicants can be exported for archiving.

Waiting list handling

The admission system offers waiting list handling. You can flag the option to automatically enrol one waiting list applicant when another has declined an offer of place. This helps you to keep your waiting list up to date and accurate.
Fine-art.education Admission System uses a concept of roles; Administrator, Reviewer, and Guest. A role defines a set of tasks a user assigned the role is allowed to perform. The guest role might for example only be permitted to view the applicants’ work samples but no name of the applicants or personal data. Admission administrators and the jury role members are able to fill in the evaluation form. However, for guests, these options are never active.
